We are looking for a dedicated and detail-oriented Personal Assistant to support the board of directors and/or senior executives in financial trading industry.

Reporting directly to the board of directors, the ideal candidate will be responsible for managing the daily operations of the directors’ office, coordinating meetings and appointments, handling confidential information, and assisting with financial trading-related tasks. The candidate will serve as a liaison to the board of directors and senior management teams, oversee and follow up with special projects, and possess excellent organisational and communication skills, as well as the ability to multitask in a fast-paced and multi-cultural environment.

 

Job Duties and Responsibilities:

- Provides administrative support to the board of directors, including managing emails, scheduling board meetings and other appointments;

- Maintains discretion and confidentiality in relationships with all board members;

- Maintains and update records of companies and regulatory licenses in difference jurisdictions;

- Maintains all corporate records for the organisations;

- Assists with setup of the new business and new projects;

- Adhere to compliance with applicable rules and regulations set in bylaws regarding board and board committee matters, including advance distribution of materials before meetings in electronic/paper format.

- Handles confidential and sensitive information with discretion and professionalism;

- Conducts research and compiles data as needed for decision-making;

- Collaborates with team members and other departments to ensure smooth operations and communication;

 

 

Qualifications:

- Bachelor's degree and/or above in investment, laws, business management, or a related field;

- Previous experience in a similar role in the financial trading industry is preferred;

- Proficient in Microsoft Office (Outlook, Word, Excel, and Power Point), Adobe Acrobat, and Social Media web platforms;

- Strong organisational skills that reflect ability to perform and prioritise multiple tasks seamlessly with excellent attention to detail;

- Excellent written and verbal communication and interpersonal abilities;

- Excellent bilingual skills in English and Chinese for both speaking and writing;

- Ability to prioritise tasks and work efficiently in flexible hours and under pressure;

- Demonstrated proactive approaches to problem-solving with strong decision-making capability;

- Proven ability to handle confidential information with discretion, be adaptable to various competing demands, and demonstrate the highest level of customer/client service and response;

- Demonstrated ability to achieve high performance goals and meet deadlines in a fast paced environment;

- Forward looking thinker, who actively seeks opportunities and proposes solutions;

- Emotional maturity;

- Knowledge of trading platforms and financial markets is a plus;
