Position Description:


  • Proficiency in managing administrative tasks including document preparation, filing, and organizing tender-related materials.
  • Ability to maintain accurate records of tender documents, contracts, and correspondence.
  • Ability to draft professional correspondence, emails, and tender submissions under the guidance of the Sales team and Tender Manager.
  • Familiarity with Microsoft Office suite (Word, Excel, PowerPoint) for document preparation, data analysis, and presentation.
  • Strong attention to detail in reviewing tender documents, proposals, and contracts to ensure accuracy and completeness.
  • Ability to identify discrepancies, errors, or omissions and rectify them in a timely manner.
  • Experience in coordinating tender activities, including gathering necessary documents, obtaining approvals, and ensuring compliance with tender requirements and deadlines.
  • Ability to manage tender portals and online submission platforms, including uploading documents and tracking submission status.
  • Capable of conducting market research and analysis to gather information on competitors, market trends, and client requirements to support the development of competitive tender proposals.
  • Ability to build and maintain positive relationships with clients, responding to inquiries, providing support, and addressing concerns throughout the tender process.
  • Willingness to collaborate closely with the sales team, bid managers, subject matter experts, to develop compelling and competitive tender submissions.
  • Effective time management skills to prioritize tasks, meet deadlines, and manage multiple tender submissions simultaneously.
  • Adherence to confidentiality requirements and ethical standards in handling sensitive information related to tender submissions, client contracts, and pricing.
  • Capacity to identify challenges and proactively seek solutions to overcome obstacles encountered during the tendering process.
  • Liaise with other departments relating, but not limited to, finance, credit control and fuel dispatch.
  • Perform other duties as assigned.

  • Customer service experience

  • Strong verbal and written communication skills
  • High degree of accuracy is essential.
  • Proactive, highly organized, self-starter with a sense of urgency and “can do” attitude.
  • Intermediate Microsoft Office applications user
  • Ability to work under pressure and handle multiple priorities effectively.
  • Proficient in data analysis
  • Strong understanding of fuel industry regulations, pricing dynamics, and market trends.


Recommended Experience:


  • Aviation experience
  • Aviation fuel/flight operations knowledge
  • Proficiency in other languages
  • Advanced Microsoft Excel user
